Annual renewal confirms that you continue to meet the College’s requirements and that you hold a valid practice permit to practise and provide safe, competent patient care. We’ll email you each October when renewal opens to let you know the application is available in the portal. You must complete your renewal by the November 30 deadline.

We encourage you to review the renewal information and take care of any requirements throughout the year. Preparing in advance will help make the renewal process faster and easier when applications open.

Renew your permit every year

Whether you’re renewing for the first time or you’ve renewed before, all practice permits expire on November 30 each year. To continue practising, you must complete your annual renewal by that date. Before you renew, take time to review the requirements and gather the information you’ll need to complete your application.

Before you renew

There are several things to take care of before you apply to renew your permit.

Professional Liability Insurance

Ensure you renew your professional liability insurance (PLI) before you renew your permit. Have your PLI certificate ready to upload. A typical certificate looks like this:

Review professional liability insurance for information about the kind and amount of professional liability insurance you need, and what you can use as proof if you don’t have a PLI certificate.

Patient Relations Learning

You must complete Patient Relations learning every year before you renew.

If this is your first time renewing your practice permit, you need to complete the Patient Relations Learning Module.

If you’ve renewed before and have already completed the full Patient Relations Learning Module, you need to complete the Patient Relations Refresher.

The Learning Module and the Refresher are in the Professional Practice Learning Centre (PPLC).

Complete your competence (CCP) requirements

  • You’ll need to have your learning objectives for the current year completed before you apply to renew your permit.
  • Calculate your practice hours. You need to have at least 300 practice hours that are no more than 3 years old when you apply to renew.
    *If you have less than 300 practice hours, you also meet the current practice requirement if you:
    • graduated from a dental assisting education program within the last three years, or
    • complete a Clinical Refresher Course, or
    • complete the National Dental Assisting Examining Board Clinical Practice Evaluation, or
    • have current dental assisting practice rights in another regulated province
  • Plan your learning for next year. You will need to record 2 proposed learning objectives before you renew.

Profile updates

Check that all your contact information is current in your profile (for example, name, email, mailing address and phone number). If you need to change your name, have verification ready to upload.

You must keep your profile information up to date in the portal. It’s required by the Health Professions Act, our Bylaws and Standards of Practice.

Employment information updates

Check that all your employment information is current (for example, employer name and contact information, your start and end dates, hours, role).

How to renew

Renewal opens each October and must be completed by the November 30 deadline. We’ll email you when the renewal application is available in the portal.

Once you’ve met the renewal requirements, follow these steps to complete your application when renewal opens.

Step 1: Sign in to the portal

  • Sign in to the portal to complete your renewal application
  • select Renew Permit when you first sign in or choose it from the menu

Step 2: Complete the renewal application

  • follow the prompts to complete each step of the renewal application

Step 3: Review and confirm your declarations

  • before submitting your renewal, carefully review the statements in your renewal form
  • read each one closely and respond accurately
  • making a false declaration may result in a referral to conduct

Step 4: Pay the renewal fee and submit application

  • have a credit card ready to pay the $225.00 practice permit renewal fee
  • submit your renewal application once payment is complete

After you renew

Remember to:

  • print your practice permit
  • print your receipt

Print your documents in the portal

If you don’t renew

If you don’t complete your renewal by the November 30 deadline, your practice permit will be suspended on December 1. While your permit is suspended, you can’t work as a dental assistant until it’s reinstated. If you won’t be practising

If you won’t be practising as a dental assistant in the upcoming registration year, you may renew your permit if you meet the requirements, or you may choose to cancel your permit and registration.
